COMMON COUNCIL - CITY OF MUSKEGO RESOLUTION #210-2005 RECOMMENDATION REGARDING CUSTOMER SERVICE/SPECIALTY CLERK DUTIES WHEREAS, The employee currently filling the Customer Service/Specialty Clerk position will retire on November 18, 2005; and WHEREAS, The Clerk-Treasurer desires to fill the position with two part-time employees; and WHEREAS, It is proposed that two employees would work 1,105 hours each per year as outlined in Attachment B; and WHEREAS, The attached position description outlines the duties of the Customer Service/Specialty Clerk position. WHEREAS, The Finance Committee has recommended approval. NOW, THEREFORE, BE IT RESOLVED That the Common Council of the City of Muskego, upon the recommendation of the Finance Committee, does approve the position description and the hiring of two part-time employees to perform the duties of the Customer Service/Specialty Clerk position. Essential Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all- inclusive. Other duties may be required and assigned. Provides a high degree of customer service when residents and customers make initial contact with City Hall. Proactively assists all residents and customers by providing general information and if required routes to the appropriate person or department. Provides a variety of clerical duties, including but not limited to: assisting with tax payment inquiries, input of dog license information, can provide assistance to other departments for mailings and other routine office duties while working in the Clerk-Treasurer Department. Reserves meeting rooms and maintains schedule of reserved rooms. Operates TOO phone. Additional Tasks and Responsibilities While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members. Records messages for meeting schedule on answering machine. Unlocks files and offices, and opens switchboard. Minimum Training and Experience Required to Perform Essential Job Functions High school diploma or equivalent, vocational/technical training in office practice, one year clerical/secretarial experience with public contact, PC experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities. . Physical and Mental Abilities Required to Perform Essential Job Functions Language Ability and Interpersonal Communication Ability to copy, compile, transcribe, file and post data. Ability to advise and provide interpretation to others how to apply policies, procedures and standards to specific situations. Ability to utilize a wide variety of descriptive data and information, and computer software operating manuals. Ability to communicate effectively with City officials, City employees and the general public. Mathematical Ability Ability to add and subtract, multiply and divide, and calculate percentages, fractions, and decimals. Judgment and Situational Reasoning Ability Ability to use functional reasoning in performing semi-routine functions involving standardized work with some choice of action. Ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against measurable criteria. . Physical Requirements Ability to operate a variety of office equipment including computer terminal, switchboard, typewriter, telephone, fax machine, calculator/adding machine, photocopier, mailing machine and TDD phone. Ability to coordinate eyes, hands, feet and limbs in performing semi-skilled movements such as data entry. Ability to exert light physical effort in sedentary to light work, typically involving lifting and stooping/kneeling. Ability to sustain prolonged visual concentration. Ability to recognize and identify similarities or differences between characteristics of sounds associated with job-related tasks. Environmental Adaptability Ability to work under safe and comfortable conditions where exposure to environmental factors such as repetitive computer keyboard uses poses little risk of injury. . .
