lbm19850402APRIL 2, 1985 MUSKEGO PUBLIC LIBRARY BOARD MUSKEGO CITY HALL Present: Board members Christenson, De Angelis, Leichtfuss, Matheson, Mimier, Turzinski, Wolf, and Director, Holly Sanhuber. Excused: Buhrandt, Roberson. The meeting was called to order at 7:30 by President Raymond Christenson. The agenda was approved on motion by Olga Mimier, second by Ruth Leichtfuss. Minutes of the March 5, 1985 meeting were approved. Motion by Olga Mimier, second by Frank DeAngelis. Next meeting scheduled May 7, 1985. Treasurer's Report: Motion by June Wolf to approve March, 1985 expenditures in amount of $20,378.35. Second, Ed Turzinski. Motion carried. Motion by June Wolf to approve March, 1985 federated system fund expenditures in the amount of $353.08. Second, Ed Turzinski. Motion carried. Communications: Guest comments: Mayor Wayne Salentine was our guest for the majority of the meeting. His comments were in regard to the trust fund, and appear in that section. Communications: We received an invitation to the opening of the Greenfield Public Library, a thank-you from Tess Corners School for our participation in "Adventure Day," and a thank-you from the Muskego Woman's Club for selling tickets to their barn dance. Old Business: a. Friends of the Library: The success of the second annual art fair was discussed. Everyone was thanked for their help. The Friends, board, staff and city cooperated to raise almost $1800 for the Muskego Public Library Trust Fund. Bills to date have amounted to 379.45, with a few outstanding. These included printing of balloons for the anniversary. Attendance was good, and the majority of the exhibitors seemed satisfied with their day. Comments on the evaluation forms have, in general, been extremely favorable. b. Facilities study: The common council passed a resolution of intent to proceed with the expansion project, by a vote of 5-2. The Mayor complemented the library board on their presentation at the informational hearing, and said the videotape of the evening came out very well. It was thought that groups such as the Woman's Club, for example, might be willing to contribute toward specific "projects" within the larger building project. An example would be to help with the equipping of the multi-purpose room. The library has applied for an LSCA grant. If received, the funds would go toward the costs of construction of the library portion. The maximum amount we could receive is $96,000. This is different from the $125,000 maximum we had originally thought, because the grant is a one-third maximum of the costs of the library portion of the construction, not the construction as a whole. The figures used to compute this amount were supplied by the architect, and clarified with the state. Holly will contact Anders Dahlgren at the Department of Public Instruction for further clarification of materials needed by May 1st. .,.-.. c. Trust Fund: The current balance is $5,743.59. The Mayor spoke about the YMCA fundraiser he had been involved with. A letter to businesses and merc~ants was followed by a personal solicitation for funds. It was decided that the library board would mount a campaign to benefit the trust fund. Monies collected would be deposited in the fund, and would be used to offset unexpected equipment/furnishing costs, and future automation. It was suggested that we approach the aldermen and solicit their cooperation, as this project would ultimately benefit the taxpayer and the community. The Friends and other organizations might also want to become involved. A Steering Committee was formed of Olga Mimier, Ruth Leichtfuss, June Wolf, Ray Christenson and Ed Turzinski. The committee will meet Monday, April 15th at 9:00. Holly will inorm the press, as a quorum of the board will be present. d. Librarian's report was read and placed on file. (Copy attached.) e. Intersystem borrowing: No progress has been made on any of the negotiations underway. Borrowing from Racine County continues brisk. f. Automation: a project worker has been hired who will be visiting the libraries to do some collection sampling, and the committee will be ready with the Request for Proposal soon. g. 25th anniversary: there was discussion of a possible history of the library, perhaps a booklet or prochure to mark the anniversary. h. photocopy machine: no news. New Business: a. Board members are reminded that we will begin working on the revision of the policy in May. Portions in [brackets] are proposed additions, changes, or matters for discussion. The circulation was over 11,000. 338 new and renewal 1 ibrary card appl ications were taken, and 178 reserves were taken. 1,055 reference questions were answered, as were 1,755 directional or informational questions. 13,440 items were shelved during March, an increase of 2,919 over February. We thouqht we were busy! Charlene and Holly attended a Children's Book Center in Madison. Hamilton were among the speakers. The House of Dies Drear, which was two-day conference sponsored by the Cooperative Newbery Award winners Joan BIos and Virginia Hamilton, as you may know, is the author of just presented on the PBS Wonderworks program. Phyll is attended an ILL meeting this month. The committee is assessing the re-formation of the computer loop which would be necessary if Brookfield were to join the system. They are also formulating procedures to ensure that we treat school interloans with consistency across the county. The "Return Books Anywhere" program is booming also. were returned via this program. In February 502 books The computer/printer was taught to produce mailing labels this month using PFS. Charlene is the latest among the learners of word-processing. - We have converted almost 72% of what we told the state we would do this year, a total of 24,351 volumes to date. Holly has been asked to serve on the WCFLS Budget committee, which will be meeting this spring. Angela and Holly did four hal~-hour programs for kindergarteners for the Tess Corners School Adventure Day. I think we had as much fun as the kids did. Books and stories are still an adventure for children at that age, and they make a terrific audienc~ In the "good old days," when Holly was just the children's librarian, she went to the child development classes and talked about selecting children's books, and to Engl ish classes, where she told stories, and spoke on art in children's books. We began curtailing such visits two years ago. Because each teacher has several sections of ~ach class, such a presentation can take an entire day. We were approached by Marge Winiarski to speak to her classes before they begin their spring pre-school sessions. Once again, we have had to decl ine, although we are gathering materials and hand-outs for her, and will offer to select books for use with the children. We pul led books for Carol Damon's Engl ish classes who were going to share them with second graders, and provided multiple copies of the Newbery/Caldecott 1 ists to another teacher. Volunteer Teri Searing is putting those 1 ists into the word-processor, so they may be updated more easily. ,- Holly is going on vacation April 22nd, and will return April 29th. . .
