Purpose of Position
The purpose of this position is to perform reception, clerical and routine office duties for the Finance and
Administrative Department. The work is performed under the direction of the Finance & Administration Director.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive.
Other duties may be required and assigned.
Professionally greets, screens and directs calls and visiors. Provides information and assistance or refers to
appropriate person or agency. Takes and relays messages.
Distributes in-coming mail, and prepares outgoing mail.
Sorts and files documents and other printed materials. Retrieves records and files.
Provides assistance with cash receipting and election related functions.
Transcribes and types letters, minutes, reports and other documents as required.
Schedules meetings and appointments; maintains appointment calendar; meeting preparations.
Various Departmental errands, included bank deposits.
Assists with license processing.
Other duties as assigned.
Minimum Training and Experience Required to Perform Essential Job Functions
High school diploma or equivalent, vocational/technical training in office skills, one to two years clerical/secretarial
experience, or any combination of education and experience that provides equivalent knowledge, skills, and
abilities.
Physical and Mental Abilities Required to Perform Essential Job Functions
Language Ability and Interpersonal Communication
Ability to classify, compute and tabulate data and information, following a prescribed plan requiring the exercise of
some judgment. Ability to compare, count, differentiate, measure and sort information. Ability to assemble, copy,
record and transcribe data and information.

Ability to explain, demonstrate and clarify to others within well established policies, procedures and standards.
Ability to follow specific instructions and respond to simple requests from others.
Ability to utilize a wide variety of reference data and information such as tax statements, meeting minutes, meeting
agenda, billings, letters, production orders, operating instructions, schedules, procedures, guideline and records.
Ability to communicate effectively with general public, City elected and appointed officials and City employees.

Ability to add, subtract, multiply and divide.

Physical Requirements
Ability to operate a variety of office equipment including computers, typewriter, telephone, fax machine,
calculator/adding machine and copier.
Ability to coordinate eyes, hands, feet and limbs in performing skilled movements such as rapid keyboard use.
Ability to exert light physical effort in sedentary to light work, typically involving lifting, carrying, pushing and
pulling.
Ability to recognize and identify similarities or differences between characteristics of colors, forms and sounds
associated with job-related objects, materials and tasks.
Environmental Adaptability
Ability to work under safe and comfortable conditions where exposure to environmental factors such as repetitive
computer keyboard use poses little risk of injury.
